Administrator and Internship Programme Coordinator

An exciting opportunity has arisen to join the team at Equippers as a part-time Administrator and Internship Programme Coordinator.

Hours: 2 days per week

Salary: £17,745 pro rata

Start date: 4th September 2017

This role carries two main responsibilities. The Administrator role is key in the life of Equippers Church, facilitating the smooth operation of much of what we do.  The Internship Programme Coordinator is a new role which has emerged as our internship programme has grown rapidly to what it is today.  The ideal candidate will capture the vision of the Senior Pastor for the internship programme, and through their own leadership make this vision reality.

The role is varied and candidates should have a flexible approach. Below are some of the main responsibilities of this role:

General admin tasks:

  • Oversee the induction of volunteers including arranging the appropriate training
  • Assist in processing of DBS checks
  • Management of ChurchSuite database
  • Manage Planning Center and produce run sheets for each church service
  • Manage Equippers email accounts
  • Answer all queries received by phone and email
  • Place stationery orders
  • Manage service accounts at The Hub e.g. internet, phone
  • Oversee church calendars
  • Manage room and vehicle bookings
  • Deliver post to staff members
  • Provide admin assistance to management team
  • Provide admin assistance to Equippers Training College
  • Organise baby dedications, baptisms etc
  • Take minutes of meetings
  • Ensure documents are filed correctly and securely


  • Oversee all communication from Equippers to our contact lists (via text and email)
  • Planning and execution of eNews (every two weeks)
  • Manage the various contact lists to ensure they are up-to-date
  • Ensure Equippers’ Data Protection policy is enforced
  • Meet weekly with graphic design team to discuss design/communication requests


  • Overseeing the organisation of Hub-related events
  • Be involved in the event management of larger Equippers events
  • Preparation of run sheets for special events on Planning Center
  • Management of online ticketing systems including ChurchSuite & Eventbrite

Guest Visitors:

  • Preparing and organising guest itineraries. This includes hotel bookings, organising drivers, accommodation and preparation of gift baskets

Internship Programme

  • Ensure all advertising relating to the Internship Programme is up-to-date
  • Assist in administration of the application process
  • Arrange host families for interns
  • Arranging the intern roster each week
  • Arrange mentors for interns
  • Oversee the development of the Internship Programme


Personal Specifications

Experience – Essential

We are looking for someone with:

  • 1 year of relevant experience in a similar role
  • Excellent interpersonal and communication skills who can demonstrate a successful track record managing people and projects
  • An ability to multitask and prioritise effectively
  • Experience in meeting tight deadlines
  • Intermediate IT skills
  • A proven ability to respond positively to a pressurised environment and adopt a positive approach
  • An understanding of, and commitment to, the values of Equippers Church

Experience – Desirable

Experience in the following is desirable:

  • Managing ticketing through Eventbrite
  • Rostering teams using Planning Center
  • ChurchSuite or similar database
  • Creating content through MailChimp
  • Data protection


We are looking for someone with 5 GCSEs including Maths and English at grades A-C.  A full UK driving licence would be beneficial.


The successful candidate will be required to undergo a DBS check.
